In Simple Terms: We collect your email, documents, queries, and limited app usage data to scan, summarize, and provide AI chat answers. We use Google (Firebase & Gemini AI) and Perplexity AI to operate the app. We also collect anonymized usage and crash data via Google Analytics for Firebase to improve the product. All stored data is encrypted and hosted in India. Chat and audio data are deleted shortly after use. You can view, edit, or delete documents, or delete your account anytime via Settings or support@docianai.com. Consent is required to use the app—if you do not agree, you cannot use the app.
At Docian AI ("we," "us," or "our"), your privacy is our top priority. This Privacy Policy explains how we collect, use, process, store, and protect your personal information.
1. Information We Collect
Account Information: email, name, and authentication details (Google Sign-In or OTP). Minimal metadata (IP address, device type) for security.
Document Data: content you upload or scan (PDFs, images), OCR text, and extracted metadata. This may include sensitive data (medical, financial) — we encrypt it.
AI Chat Queries: queries and prompts you submit to Dokky. These and related document snippets are deleted within seconds after session end or up to 1 hour for cached audio.
Usage & Device Data: feature usage events and device/app info used for anonymized analytics and crash diagnostics.
Audio Data: voice queries and generated TTS audio — deleted immediately after processing or cached up to 1 hour.
2. How We Use Your Information
Authentication and account management.
Document processing, OCR, summarization, and PDF generation.
Providing AI chat answers and Explore Mode results.
Notifications and reminder services.
Anonymized analytics (Google Analytics for Firebase) to improve app stability and features.
Security and abuse prevention.
We do not include raw document contents in analytics events (analytics are anonymized).
3. Third-Party Services & What We Share
Google (Firebase): authentication, storage, hosting, messaging, and analytics (Firebase Analytics).
Gemini AI (Google): for document extraction, categorization, and document-related AI responses.
Perplexity AI: used only for Explore Mode and queries combining documents with real-time/general information. We send only the corrected user query text and — when the user explicitly requests document comparison — a short text summary of only the relevant document fields (we do not send raw images or full documents to Perplexity). Responses are used temporarily and then discarded.
We never sell or rent your personal information for advertising.
4. Data Storage & Security
All stored data is protected with AES-256 encryption and access control in Firebase (India-based regions by default).
Only authorized backend services can access stored documents.
Chat logs and audio are deleted quickly after each session (see retention table).
Breach procedure: we will contain the incident, rotate keys/credentials, perform forensic analysis, and notify affected users and regulators within 72 hours if required by law.
5. Data Retention (Concrete Durations)
AI chat sessions & conversation data: ephemeral — deleted immediately after session or within 1 hour of inactivity.
Audio files / TTS cache: cached for up to 1 hour then deleted.
Saved documents & PDFs: retained until you delete them; once deletion requested, primary data & backups removed within 30 days.
Analytics / anonymized logs: retained up to 12 months for product improvement and crash analysis (no raw document data included).
Legal/administrative logs & backups (if required): retained up to 90 days.
6. Your Rights & How to Exercise Them
You may:
Access your data.
Correct inaccurate information.
Delete specific documents or your account.
Request data export (machine-readable format).
Withdraw consent by deleting your account (see next section). Without consent you cannot use the app.
Contact support@docianai.com to exercise these rights. We aim to respond quickly and resolve requests per applicable law.
7. Deleting Your Account & Data
To delete your account and all data: App Settings → Delete Account or contact support@docianai.com. After deletion request, primary data and backups are removed within 30 days, except where retention is required by law.
Uninstalling the app alone does not delete your cloud-stored data — use Delete Account to remove it.
8. Automated Decision-Making / Profiling
AI is used to analyze documents and produce summaries and suggestions. These outputs are advisory only and are not a substitute for professional advice. You can flag any AI result in-app for human review, or contact support@docianai.com to request a manual review.
9. Cookies & Tracking
We use session tokens for login/session management. We collect anonymized analytics events using Google Analytics for Firebase. We do not use cookies for advertising or cross-service tracking in this release.
10. Children’s Privacy
The app is not intended for children under 16. If we learn we've collected a child’s data, we will delete it promptly. Contact support@docianai.com if you suspect this has occurred.
11. Grievance Redressal & DPO
For complaints or privacy requests contact our Grievance Officer / DPO at: support@docianai.com. We aim to acknowledge and resolve complaints within 30 days in accordance with applicable Indian law.
12. Governing Law
This Privacy Policy is governed by the laws of India. Any disputes will be subject to the exclusive jurisdiction of courts in Hyderabad, Telangana, India.
13. Changes to This Policy
We may update this Privacy Policy. Updates will be posted in-app and on our website with a revised “Last Updated” date. Continued use after updates means you accept the changes.
